Overview

The Private Feature in RAIDLOG.com allows users to control access to sensitive information by marking RAID items (Risks, Actions, Issues, Decisions, Lessons, Opportunities, etc.) as private. This ensures only authorized users—project owners and assigned collaborators—can view and edit the items.

However, some limitations apply, such as dependencies linked across multiple projects, which cannot be made private.


How Private Items Work

  1. Visibility Restrictions

    • Private RAID items are completely hidden from users without access, including search results and related item references.

    • Users without access will not see any indication that the private item exists, even in related RAID item views.

  2. Access Control

    • Only project owners can set and manage the privacy status of a RAID item.

    • Project owners can assign users to private items, allowing those users to view and edit the item.

    • Workspace admins have full access to all private items across projects.

  3. Dependency Limitation

    • Dependencies linked to other projects cannot be marked as private due to system-wide visibility rules.


Privacy Settings for Converted or Related Items

  • Inheritance for Converted Items

    • If a private risk is converted to an issue, the new issue will be marked as private by default.

    • The project owner can toggle the privacy setting after conversion.

  • Related Items

    • Private items can have related RAID items. However, if a user does not have access to the private item, it will not appear in their view of related items.


Notifications and Activity Logs

  • Assignment Notifications

    • Users assigned to a private RAID item do not receive a specific notification informing them of access.

  • History and Audit Logs

    • Historical activity logs and audit trails of private items are hidden from users without access.

  • Standard Notifications

    • Assigned users still receive standard reminders and alerts (e.g., due dates) for private items.


Managing and Changing Privacy Settings

  1. Project Owners Only

    • Only project owners can change the privacy status of a RAID item, toggling between private and public.

  2. Future Visual Indicators

    • Currently, privacy is indicated through a toggle in the item's details. A more visual indicator is planned for future updates.

Unless assigned to the private RAID item, these roles can not view private RAID items except for workspace owners. Workspace owners can view all RAID items regardless if public or private.


FAQs

Q: Are private items included in reports or dashboards?
A: Private items cannot be viewed through reports by anyone who does not have permission to see the Private item. However, Private items will contribute to total item "counts" in dashboards, (e.g., total open risks)

Q: Can I search for private items?
A: No, private RAID items are excluded from search results for users without access.

Q: Are there any special rules when deleting a private RAID item?
A: No special notifications or alerts are sent when a private item is deleted.
