The Dependencies module in RAIDLOG is designed to help you manage and track external dependencies across different projects or between your organization and external entities. Properly managing these dependencies is crucial for ensuring that your projects stay on track and are not adversely affected by factors beyond your immediate control.

What Are External Dependencies?

External dependencies are relationships between your project and external factors, such as another project, a third-party vendor, or any external event that could impact your project’s timeline or deliverables. Unlike internal task-to-task dependencies, external dependencies are often outside your direct control and require careful monitoring and coordination.

Examples of External Dependencies:

  • Project-to-Project Dependencies: When the start or completion of one project is dependent on the progress or completion of another project within your organization.

  • Third-Party Vendor Dependencies: When your project relies on a deliverable, resource, or service provided by an external vendor or partner.

  • Regulatory Dependencies: When your project must comply with external regulations, approvals, or certifications before proceeding to the next phase.

Managing external dependencies effectively is essential because they can significantly impact your project’s success. Delays or issues with these dependencies can lead to project delays, cost overruns, or even project failure. By tracking these dependencies within RAIDLOG, you can anticipate potential risks, coordinate with external parties, and adjust your project plans accordingly.

How to Use the Dependencies Module in RAIDLOG

1. Adding a Dependency

To add an external dependency in RAIDLOG:

  1. Navigate to the Dependencies module from your project.

  2. Click on “Create New”.

  3. Enter the details of the dependency, including the dependency type, the specific project if the dependency is another project, and the impact if not delivered.

  4. Assign the dependency to the appropriate owner for monitoring.

2. Tracking Dependencies

Once added, you can track the status of each dependency in the Dependencies module:

  • Status: Regularly update the status of each dependency to reflect its current state (e.g., On Track, Off Track, At Risk).

3. Managing Risks

External dependencies often come with inherent risks. RAIDLOG allows you to:

  • Identify Risks: Create & link dependencies with potential risks and describe the nature of these risks (e.g., delivery delays, compliance issues).

  • Mitigation Plans: Attach mitigation plans to each risk to outline how you’ll handle any issues that arise.

Best Practices for Managing External Dependencies

  • Regular Communication: Maintain open lines of communication with external parties to stay informed about any changes or potential delays.

  • Document Agreements: Ensure all external dependencies are documented, including any agreements or SLAs with third parties.

  • Proactive Monitoring: Use RAIDLOG to monitor dependencies actively and respond quickly to any issues that may arise.
